Privacy Policy

This policy explains what information OnlyERP ("OnlyERP", "we", "us") collects when you use https://onlyerp.com (the "Site"), how we use it, who we share it with, and the choices you have. If you have questions, email [email protected].

Information we collect

When you sign in. We offer sign-in through Google, LinkedIn and Microsoft. When you choose one, that provider shares your name, email address, profile photo and a unique account ID with us. We never see or store your password, and we don't keep the access tokens those providers issue.

What you choose to post or provide. This includes job posts, company or training listings, consultant profiles (headline, skills, location, rate, availability and contact details you choose to show), discussions and replies, and anything you send us by email, including articles sent to [email protected].

When you sign an agreement. To show who signed and when, we record your typed name, optional drawn signature, title, the date and time, your IP address, and your browser details, together with a fingerprint of the exact document you signed.

When you pay. Payments are handled by Stripe on Stripe's own checkout page. We receive confirmation of the payment, the amount, your name, business name and email. We never receive or store your card number.

When you use Ask ERP AI. Your questions and the conversation are sent to Anthropic, which provides the AI service, to generate an answer. We keep only a count of questions, approximate usage and cost for each account or visitor, not the conversation itself. Your browser may keep the recent conversation locally so you can continue it; you can clear it with Start over.

Automatically. Like most websites, our server records technical information such as IP address, browser type, pages visited and the time of each request. We record clicks on partner job listings so we can measure them. We store a hashed (scrambled) form of the IP address for click counts and rate limits, not the address itself.

Cookies and local storage

We use one essential cookie to keep you signed in and to protect forms against misuse. It expires when you close your browser or sign out. We don't use advertising or tracking cookies.

Your browser also stores your shortlist (saved companies, jobs, consultants and good reads), your recent Ask ERP AI conversation, and small display preferences. This stays on your device and is not sent to us. Clearing your browser data removes it.

Fonts are loaded from Google Fonts, which receives your IP address when the page loads.

How we use information

  • To run the Site: sign you in, show your posts and profile, and process listings, agreements and payments.
  • To keep the Site safe: prevent spam and abuse, enforce our Terms, and keep records of agreements.
  • To communicate with you: agreement links, signed copies, invoices, renewal reminders and replies to your messages. We don't send marketing email without your permission.
  • To improve the Site: understand which pages and features are used.

When we share information

We don't sell your personal information, and we don't share it for cross-context behavioral advertising.

We share information only with:

  • People you choose to reach. Anything you post publicly, like a job, listing, discussion or a public consultant profile, is visible to everyone.
  • Service providers who help us run the Site, under their own privacy terms: our web host, Google, LinkedIn and Microsoft (sign-in), Anthropic (Ask ERP AI), Stripe (payments), and our email provider.
  • Partner job networks. When you click a partner job from Adzuna or Jooble, you leave our Site and their privacy policies apply.
  • When required by law, or to protect the rights, property or safety of our users, the public or us.
  • If the business changes hands, information may move to the new owner, who must honor this policy.

How long we keep information

We keep account information while your account is open. Posts stay until you or we remove them; jobs expire after 60 days. Signed agreements and their evidence records are kept for at least seven years after they end, because they are legal records. Server logs are kept for up to 12 months. When information is no longer needed, we delete it or make it anonymous.

Your choices and rights

You can edit or delete your consultant profile, posts and listings from your account page, and choose whether your profile is public.

Depending on where you live, including under the Texas Data Privacy and Security Act, you may have the right to:

  • confirm whether we process your personal data and get a copy of it,
  • correct inaccurate data,
  • delete your data,
  • opt out of the sale of personal data, targeted advertising or profiling (we don't do any of these).

To make a request, email [email protected] from the address on your account. We'll respond within 45 days. If we decline, you can appeal by replying to our answer, and we'll respond to the appeal within 60 days. If you're still unhappy, you can contact the Texas Attorney General. We won't treat you differently for using these rights.

Security

We use HTTPS for all pages, encrypt stored API keys, keep private files out of public reach, and limit who can access the admin area. No system is perfectly secure, so please use a strong, unique password for the account you sign in with.

Children

The Site is for professionals and isn't meant for anyone under 18. We don't knowingly collect information from children. If you believe a child has given us information, email us and we'll delete it.

Changes to this policy

If we make important changes, we'll update the date at the top and, where appropriate, tell signed-in members. Continuing to use the Site after a change means you accept the updated policy.

Direct messages

If you turn on direct messages, members can send you message requests, and the messages you exchange are stored so you can both read them. Messages are checked automatically for profanity, unsafe links and abuse before they’re sent. OnlyERP staff don’t read private messages, except a conversation that one of its members reports, which moderators can then review. You can block anyone at any time.
